St. Timothy’s Episcopal Church in Anderson Township (Cincinnati) seeks a Parish Administrator to work collaboratively with its clergy and staff to support worship, operations, and communications. 

Responsibilities include the management of all office functions, supervision of office volunteers, and coordinates activities and efforts with the Vestry, Wardens, Parish Treasurer and committee chairs. The Parish Administrator is also responsible for the buildings and grounds of the church. This includes security, community usage, cleaning, and maintenance.

Coordinate all aspects of parish communications including, but not limited to:

  • Weekly emails to parish (i.e., eNews, Participant Reminders, etc.)
  • Weekly printed Announcements
  • Website
  • Sign
  • Photo Wall pictures and Gathering Space TV
  • Bulletin Boards
  • Social Media
  • Press

Work directly with the chair and Vestry Liaison of the Communications Committee.

Prepare weekly worship service bulletins.

Coordinate volunteer participants in Sunday worship.

Computer System Responsibilities:

Assist staff with computer user issues, i.e. issues with email, word processing, desktop publishing, etc.

Coordinate with IT contractor

Oversee telephone operation and maintenance, including routine programming and changing of messages

Troubleshoot daily miscellaneous situations


Work directly with the chair and Vestry Liaison of the Fellowship Committee

Support Fellowship activities with ordering of supplies

Facility Responsibilities:

Hire and supervise custodial staff or contract with a custodial service

Coordinate set up needs for parish meetings and events

Communicate set up needs for parish meetings and events to custodian

Administer the policies and procedures concerning the use of all church properties and facilities, including arranging for and scheduling special events and services and making room assignments

Work directly with the chair and Vestry Liaison of the Building and Grounds Committee

Procure, distribute, and track keys to the facility

Be able to operate building systems, including HVAC, fire alarm, burglar alarm, automatic door locks, elevator, outside lighting, and kitchen equipment

Interface with contracted companies, i.e. snow removal, pest control

Maintain comfortable heating/cooling environment

Maintain records and documentation of building systems, equipment, grounds care, and repairs

Schedule and coordinate logistics for meetings, special events, funerals, etc. with the appropriate personnel

Schedule and coordinate logistics for use of the facility by outside community groups

Organize, know location of, and oversee use of all church equipment (AV, furnishings, etc.)

Arrange for and oversee necessary maintenance and repair of property, whether provided by staff, contracted services, or volunteers, including (but not limited to) HVAC, electrical, plumbing, and landscaping/lawn care

Assist the Wardens in procurement and management of property insurance

Purchase office supplies, equipment, furniture, kitchen and custodial supplies

Meet with Anderson Twp. Fire and Rescue representative for annual fire inspection

Arrange for implementation of the Fire Inspectors requirements for passage of inspection

Meet with state and local inspectors for scheduled and impromptu inspections of the elevator

Arrange for implementation of the inspector’s requirements for passage of inspection

Arrange for care and maintenance of the Columbarium according to parish policy

Troubleshoot daily miscellaneous situations

Administrative Responsibilities:

Attend staff meetings weekly

Maintain church calendar

Communicate with community groups and other users of St. Timothy’s facility during and after office hours

Maintain continuity and communication among staff

Order office supplies

Perform other tasks as necessary or as may be assigned by the Rector

Maintain Vestry files

Diocesan Convention:

            Make convention, meal, and hotel reservations for conventions delegates
Distribute communication from the Diocese to the convention delegates
Report delegates and governance structure to Diocese annually

Be familiar with operation and simple maintenance of office equipment, including printer, copier, postage meter, etc.

Supervise and recruit Office Volunteers

Troubleshoot daily miscellaneous situations

Committees: Communications, Fellowship, Building and Grounds

Qualifications: Bachelor’s Degree in related field (management, operations) with minimum of 2 years of related experience OR Associates Degree in related field with a minimum of 5-8 years of Office Administration.                              Proficient in all Microsoft Applications – including Publisher
